What personal data do we process?
Depending on your relationship with us, we may process:
- your first and last name, contact details and, where applicable, information about your company;
- your property search criteria, information about your property and the content of your communications with us;
- the information and supporting documents needed to review a rental application or enter into or manage a contract;
- information needed to use a client account, if you have one;
- technical information related to your use of our website, including your IP address and cookie preferences.
We collect most of this information directly from you. We may also receive information from your employer, a property owner or an intermediary involved in your rental or property project. Where this happens, we will inform you of its source as required by applicable law.
Fields marked as required in our forms are necessary to process your request. If you do not provide this information, we may be unable to respond.
Why do we use your personal data?
We process your personal data to:
- respond to inquiries, help you find a property and arrange viewings, as part of steps taken before entering into a contract or based on our legitimate interest in responding to people who contact us;
- review applications, enter into and fulfill contracts, and provide our real estate services, as part of pre-contractual steps or the performance of the relevant contracts;
- comply with legal and regulatory obligations, including requirements to retain certain documents;
- keep our website secure and manage our professional communications, based on our legitimate interest in protecting and managing our business;
- send newsletters or marketing communications, where you have consented or where applicable law permits us to do so without obtaining new consent. You can unsubscribe at any time using the link in our emails or by contacting us.
Who receives your personal data?
Only authorized members of our team can access the data they need for their work. Depending on your request, we may share relevant information with the property owner, companies involved in providing the requested service—including France Ermitage where property management is concerned—and our technical and professional service providers. We may also disclose data to authorities when required by law.
We share only the information each recipient needs for its role.
How long do we keep your personal data?
We keep data relating to an inquiry or application for as long as needed to process it. Data needed for a contract is kept for the duration of the contractual relationship and may then be archived where necessary to meet legal obligations or defend our rights, subject to the applicable time limits.
Personal data used to market to a prospect who has not become a client may be kept for up to three years from its collection or the prospect’s last interaction with us. For a client, such data may be kept during the business relationship and for up to three years after it ends, unless the client objects or another applicable obligation requires otherwise.
